What does "Confirm you wish to export now" mean?

The message "Confirm you wish to export now?" prompts you to say you want to export. That means it will export the information as per the settings you chose immediately after you confirm.

In EddieExport I am unable to export anything but calendar entries. It worked with the demo version, but would only do a small amount. I upgraded to full version and now nothing but calendar works?

You may no longer be able to write further messages (items) to the Outlook or Exchange mailbox.

It could be for various reasons.

Mostly likely out your are of disk space, or size of Outlook or Exchange mailbox is too large for the set limits. Size limits are usually 20GB for Outlook 2003, 2007, 2010 etc. Limits can be modified see http://support.microsoft.com/kb/832925. Just under 2GB for Outlook 2002 and below.

It could also be that the PST 'Disabling the AutoArchive and Personal Folder File' feature is turned on in the registry. You can see http://support.microsoft.com/default.aspx?scid=kb;en-us;Q258277 for details. HKEY_LOCAL_MACHINE\Software\Microsoft\Office\[REPLACE_WITH_OUTLOOK_VERSION]\Outlook\

Set DisablePST to 0 for not disabled

It could also be due to other security issues writing files.

I am exporting 10 mailboxes to provide 10 users with their historical emails as a test in our new Exchange 2010 environment. To get these emails,calendar items, etc. set up for the users I am attempting to import each PST in to the appropriate users mailbox using the New-MailboxImportRequest cmdlet. On the first PST I tried (1.4GB), this failed at about 14%, and the error in the event log indicates it encountered a corrupt item. The export via EddieExport completed this mailbox with 100% success, so I would expect that all items are valid and I should not encounter any issues importing this PST in to the users mailbox. Please advise what I can do to resolve this issue. Simply skipping over corrupt items is not really an option.

Some messages are probably marked as not importable because they were larger than the default message size limit of Exchange which is 10MB. If you adjust this setting the PST should import to Exchange with 100% success.

If an exchange mailbox is not empty and we run an export/import with your magic product ;-) what happens when items (like contacts and emails etc) are added to existing ones? Is the destination folder or items is overwriten?

It will just add items to the mailbox, it does not read and remove/update or synchronize anything. It just creates a copy of the messages you export in the Exchange or Outlook mailbox. The term overwrite is really only a valid in regards to file system, it doesn’t apply to databases (like an Exchange mailbox or Outlook mailbox), you don’t overwrite records you add, remove or find and update. To remove them you have to search for them and delete them, To update you have to search for them and update them, EddieExport does not do that – that would be a very slow process for a migration tool. You can filter mail message by date with EddieExport and so only export messages in a particular time date range. You can also use incremental export to only export items that were not already exported. Please note you must have it on the first time you run so it tracks what was exported.

I'm evaluating your product to migrate some mailbox from Lotus Domino Server 6.x to an Exchange 2010; seems that EddieExport works fine BUT we have all software (Domino & Notes and Exchange & Outlook) in Spanish so migration is not perfect because the name of destination folders in Exchange server remains in english, not in Spanish...there are a solution to choose destination folders or respect language?? An another question, we want to do migration one mailbox at a time in only one PC....we need to buy 30 licenses or we can buy only one?. The license is linked to an adress mail?? Thank you

Yes you need a license for each user no matter where you convert the files from. You can modify the default folder names. If you go to Options - Modify Settings File you can edit the following folder names and set as appropriate (for Spanish): OutlookDraftsFolderName=Drafts OutlookSentFolderName=Sent Items OutlookContactsFolderName=Contacts OutlookDistListFolderName=Contacts OutlookCalendarFolderName=Calendar OutlookTasksFolderName=Tasks You can also change the Inbox and other mail folder name like under the View and Folder Rules options (change the Output name in the last dialog box)

Today I exported successfully all mails from my Lotus Notes 8.5 account. After import in outlook I found out that the contacts and calendar data are missing. Probably I was exporting the wrong file or I only selected the mailbox file. Do I have to buy a new license when I would like to export the contacts and calendar data from the same mailbox? If no – how I can start the export? Actually I get the error message by activating that the license was already used.

Contacts are usually in the address book. The history log will show what was exported. Did you check that?

Is your version of Outlook is in a different language? If so you need to change the default names [See 'Modify Folder Names' button in the components screen or settings.ini from Options – Modify Settings.ini File].

I was initially stopped during my trial run because "prompt for passord was aborted" message. I now have the password but cannot get to the applicable prompt, it contiues to state: "prompt for passord was aborted"

It is a message from Lotus Notes itself. Lotus Notes generates the prompt. Normally if you restart the EddieExport application that is enough but if not you should also shutdown the Lotus Notes client and any other Lotus Notes based applications including EddieExport (also applies to our other products). Then when you restart EddieExport you should be prompted again.

Can you explain XitNotes Licensing? I have 250 users I need to export and some of these have 1 or more archives as well their mailbox and address book we need to export.

Basically the idea is you pay per user not per NSF file. The licensing enforcement is however done at the NSF file level. What we do is try to allocate you enough databases so you can export all of your users (for each user you purchase a license for)

This application failed to start becuase lcppn23.dll was not found. This happens after I run the install and try to launch XitNotes.

This was an issue in version 2.3f that was immediately fixed in 2.3g. Please download the latest version of XitNotes and run the install.

If I have a database with a bunch of Hidden Views that can only be seen by specific ACL roles. And I have forms in the database that have sections &/or fields that are available only to specific roles. Does ExportWiz allow end users who are using it as a tool to pull record level data from my NSF to gain access to the data displayed in these hidden views and hidden fields when they do not have the requisite role?

View security is very easy to bypass so should not be used to secure a system where privacy is critical. Any user can create a private view in Lotus Notes (or run a simple script) and see documents that are hidden via a view. You need to use document level security (readers fields) if you want to stop people poking around.

ExportWiz will allow access to data that may reside only in hidden views as you can view data without regard to the view (as a query).

After installing and attemptimng to run XitNotes I am getting an error "The dynamic link library nNotes.dll could not be found". What should I do?

You must have Lotus Notes installed to use XitNotes. It must be Lotus Notes version 5 or or later (client software). You can download a fully functioning trial of Lotus Notes from IBM at www.lotus.com in the trials and beta section.

You must install XitNotes to the Lotus Notes executable directory where the Notes.exe file can be found (which is where nNotes.dll and other needed files are).

I have purchased a copy of ExportWiz professional. I am unable to get it to export subtotals and totals from my Lotus Notes view. It does export the detail data. What can I do?

ExportWiz will export all documents in a view but it will export the information in each document rather than what you see in the view. It works with the document level information so it can be very flexible. It sounds like you are trying to export what you see in the view rather than the values in individual documents. The view information may be calculated information in the view displayed in Notes. If you need totals and summaries you need to look at it differently (views are static and limited to what they can display). You need to take a look the Summary features in ExportWiz. Please see the help on this topic (and there are also some summary example reports). If you know anything about pivot tables in Excel it is similar but better as it more direct (you can also use pivot tables with ExportWiz but summary is better). After that if you have any questions or need any pointers please let us know.

One of our staff purchased your xitnotes ot export her email from her notes database to outlook. When we initially ran the process it ran for over a week and did not complete! It appeared to be working but was acutally aborting each record apparently. Next she went back into notes and removed many of her older and duplicate emails to reduce the process. She reran and it ran for several days. She wants us to revisit her and get this working. If there are any recommendations you can make to attempt to get this process to go through, it would be appreciated. The lotus notes is version 5.0 and she is running offline from the network. The outlook is outlook 2000. Her notes database was about 10gb in size. She is only looking to get her emails out into a PST file. PLease reply to the address below. Thanks

There is an immediate issue and also a few possible other issues. 10GB is quite a large file. XitNotes is typically extremely fast at export - especially if Outlook and Notes are not running and logging is disabled.

XitNotes can export practically any size Lotus Notes mailbox but Outlook 2000 only supports mailboxes (PST file) up to 2GB in size. 10GB is way past that limit so it was probably generating errors continuously and also probably causing memory leaks in the error exception process which would also slow the export. Outlook 97 - 2002 does not warn that the size limit has been reached/breached. This is a common Outlook issue.

You can upgrade to Outlook 2003. It supports mailbox (PST file) of up to 33TB in theory. 10 GB however is still very large from a practical point of view. Outlook performance may suffer but should handle it.

The data can be broken into folders and those folders exported to individual PST files (New PST file for each batch). The Lotus Notes advanced option can be used to select folders.

Other possible issues

Is there enough space in the destination? A minimum of 10 GB free space is required for that mailbox. You may need more.

Is there are any custom views? They can cause data duplication in the export. You can use the Lotus Notes Advanced options to deselect these duplicate views. An example of a duplicate view is the "All Documents" view. This contains all information in other folders. By default XitNotes excludes it. If you or you administrator have created custom views XitNotes doesn't know so it will export by default.

Why is the PST size different to the NSF

In regards to NSF vs. PST size:

Generally in a mailbox folders are used to store information.

IN LOTUS NOTES

A folder contains only pointers (a pointer is an address of the message) to documents (mail messages).

It is possible in notes to copy (by dragging with the mouse and CTRL) a message into another folder but only a pointer is created in that folder not the whole message. Notes is efficient in that way.

IN OUTLOOK

A folder is outlook is like a directory in a file system, and a message is like a file. Each message in a folder contains the information not a pointer to the information.

IN CONCLUSION

If in Notes you have dragged messages to duplicate them in folders only the pointers and duplicated. The number of documents (mail Messages) in the database stays the same. In Outlook that get duplicated.

In Outlook if you copy or drag and hold CTRL a message to another folder you actually make a copy of the message. The PST will contain an extra message.

You can try this yourself in Notes by checking the database properties for the total documents. Then dragging a message and holding CTRL to another folder. The number of documents does not change.

When XitNotes exports it exports all information in all folders. If there are duplicates in one folder that are also in another it doesn’t check to see if that document was already exported (if it did people would wonder where the message went as they would expect it in that folder). Also if you have any non standard views in a database by default they get exported. You need to exclude them if you don't want them. Views can also contain duplicate data. For example the "All Documents" view which is excluded by default contains all the information and if exported would double the export size. If a user or administrator created a copy of the view and modifies it. It will be exported by default. You should exclude any NON standard views not wanted. You can do that in the INI file if you know the names. Otherwise export it manually using advanced.

In XitNotes can I de register a mailbox??

answer applies only to XitNotes.

you can not. You need a license for each nsf file you want to export.

Form A has one or more doclinks to Form B which then has an embedded attachment. I want to export the data from form A into a Text or Excel format and also include the contents of Form B including it's attachment name. One export record per Form A/doclink. Lotus Notes 5 does not appear to give me the cabability of referencing Form B via the doclinks. Could your software accomplish this task?

Our MailExportWiz software will recognize and export document link information but is probably not the right tool for your requirements. ExportWiz probably fits your requirements better but does not have that exact functionality. We would need to write customized code in Notes 6 and above. We can also do it for notes 5 but need to write and install a DLL. I don't think you will find any product that does what you require exactly. It will need to be specially developed. We can help if you are interested.

Do you have product that can help me to migrate a .nsf file using 4.6.3 Lotus Notes version to .pst Outlook file ?

XitNotes will export a Lotus Notes 4.6 format mail file but you need Lotus Notes version 5 or above client software loaded on the PC you export from. You can download an evaluation copy of Lotus Notes from ibm at www.lotus.com in the downloads section.

You should be able to run a report then format it in Excel (Colours etc) and save. You will be prompted to save the design to template.

I have created a report in that feeds an Excel workbook contains several worksheets. The first worksheet, "master", contains all the data that I need to create Pivot Tables that are stored on other worksheets within the workbook.

In order to populate "master", I am using the filter, "prior month".

The first time I prepared the report, everything was fine. However, the second month I'm trying to do this, the "master" report is updated with current (February) data, but the pivot tables still contain data from January.

I've looked at the options in Excel and enabled the "refresh on open" function. This may really be an Excel question and not an ExportWiz question, but I'm finally making some progress with your application, which has been extremely helpful.

If you have not specified the Pivot table under the Pivot table options (available via the "PT" for pivot table button [near the chart button] or also in Excel options "Pivot tables linked to this") it may be as simple as linking each pivot table you want updated with the new data.

You need to tell ExportWiz which pivot tables link to the data as you may also have pivot tables you don't want linked to the exported data (i.e.  linking to static data in another sheet).

When I start the application XitCal.exe the error message "This application has failed to start because lcppn23.dll was not found. Re-installing the application may fix this problem" - but a reinstallation and rebooting the computer don't help to solve this problem. Any idea? Thanks for your reply Best regards Oliver Ernst

The XitCal application (and the lcppn23.dll file) need to be in the same directory as the Lotus Notes executable (notes.exe) you are running. If not you need to have a path set to the notes directory in system or user settings (and then the XitCal and lcppn23.dll must be in the same directory as each other).

You need Lotus Notes to open NSF files. You can download an evaluation copy at www.lotus.com in the downloads section.

You need to extract the Contactswiz1_2.nsf file to your hard disk.

Then in Lotus Notes choose file - database - open and select the Contactswiz1_2.nsf file.

You will need to accept the license agreement on first opening and trust signer to every security message that appears.

Can I de-register a mailbox in EddieExport

No you can not de-register a mailbox in EddieExport. Please be careful to register the correct mailbox. If you regsitered an empty or invalid mailbox we may be able to assist.

We are coming up with a licence error (since the notes naming convention has changed for the user it hasn't worked)

What do i have to do to reinstall the ExportWiz with out the error.

All you need to do is remove the old user from license administration which you access via the Actions menu - License Administration - Delete user. You will be prompted for the license key. Once done the next user to access ExportWiz becomes the new licensed user. The procedure is documented in the help available through the left hand side navigator help menu option in ExportWiz.

I have a Lotus Notes nsf mail file that is over 2GB. How can I get around the Outlook 2GB limit?

I don't believe there is any way to get around it (besides moving to Outlook 2003). The only thing I can suggest is to move some email messages out of the NSF file to a temporary nsf file and then do your export. There is no limit to the number of times you can export the same nsf file. You could then later copy back in the email messages to the nsf file, remove the ones already exported and export to a different Outlook PST file.

There are no known issues with ExportWiz 2.6j running under Windows XP. In fact the operating system has very little impact on the application as it is a pure Lotus Notes application. Look and feel will remain the same.

I cannot run the XiNotes and get the message The LCPPN23.DLL file is linked to missing exportNNotes.DLL2910 What do I do to get this working. Frustrated

For XitNotes versions up to vesion 1.0i You must have Lotus Notes 5 and above. It is most likely you are running Lotus Notes version 4.6.

Also there are 2 versions. One for Version 5.0 - 5.05 and one for version 5.05 and above (including version 6) version. The 5.06 version (XitNotes 1.0i) is mainly needed for Notes 6 but fixes a few bugs in the notes libraries (LCPPN22.DLL which is replaced with LCPPN23.DLL) that may help avoid any possible issues in Lotus Notes 5.06 and above.

I recently purchased ContactWiz so one of our Outlook users could export his Outlook contacts into a Notes address book from time to time. What we have found is that unless you open each contact in the Notes NAB and save it you are unable to add the contact into a email group(Notes returns an error "Selected Entry Does Not Have a Valid Address". It is my guess that when you save a contact in the Notes Client a field is being set in the document that is not being set during an import. Do you have any ideas how we can avoid opening each contact and saving?

This is due the Full Name (in Advanced tab) field which ContactsWiz does not set. The reason version 1.0 did not set it was that the Outlook Name is not a valid FullName for Lotus Notes. I could however see that it may be handy to set it never the less to save typing etc so what I did was organise a change to ContactsWiz. It now sets the Full Name field using First, Last and Middle initial (If exists). It won't add the Notes organisational qualifiers however as it doesn't know what these are.

ExportWiz might just be what we need. But is there any list where we can see which fields will exactly be exported/imported to/from each other? As far as Lotus Notes is involved, I am talking about the PERSONAL addressbook here.

Yes we have a few tools that allow you to work with contacts in different ways. ContactsWiz, ExportWiz and MailExportWiz.

ContactsWiz will allow you to export/import to Outlook contacts.

ExportWiz will allow you to export to Excel, CSV or delimited text.

MailExportWiz will covert each contact to a text file in a directory structure.

In ExportWiz if you choose your local address book and contacts form it should show you all the fields available.

Have you been able to download and try the demonstration?

I was a lotus notes user via my former employer. When I resigned I was able to keep all my notes data but not the application. I now have an application and want to populate it with the notes data that I kept. How do I do that? Once complete I will export that data to MS Outlook. Thanks in advance for your help!!

You will need Lotus Notes. Unfortunately there is no getting out of it. You can download it at the IBM site www.lotus.com and go to the downloads area. Once your data is converted you can remove Lotus Notes from your PC.

The demonstration and live version for ContsctsWiz (and most of our products) are the same thing. You just need to enter the license key you received that is sent when you purchased. The purchase advise messages says you should download the latest copy because there may be a new release since the demonstration version was downloaded (i.e. iIf time has past since downloaded the demonstration copy). The requirements for XitNotes state you need both the Lotus Notes program and the Outlook program on the same machine.

I have my .nsf (450 MB) as a stand alone file on a burned CD and a complete install of the Outlook program on my machine. Will XitNotes still work for me?

If you do not have a copy of Lotus Notes software (Lotus Notes client software) as well as the CD with the .nsf file the answer is no. You can however download an evaluation copy of Lotus Notes from IBM at www.lotus.com in the "Betas and Trials" section and install it to your PC. Then you would be able to export using XitNotes. Please note depending how the CD was created you may need to copy it to hard disk and unmark the file properties as read only before Lotus Notes will let you read it.

There is no software available that will convert formats without both programs present (Outlook and Lotus Notes). Both Lotus Notes and Outlook use complex proprietary formats that can not be accessed directly. It is possible to use some of the Lotus internal files (from the Lotus Notes installation) to avoid using Lotus Notes software, however that is illegal usage of the Lotus Notes product so we can not distribute those files.

Our tool ExportWiz will allow you to do that. It depends on how exactly you want to do it however. ExportWiz is very specific. You specify which information you want to export. The Free lite version allow you to export up to 50 records at a time. The Lite commercial allows you to export all information. The next step is to make sure it to set to the default mail client.

You can do this in Internet Explorer.

From menu, Tools - Internet Options - Programs tab

Email must say Microsoft Outlook. If it already does change it and save then change it back to Microsoft Outlook and save again. Sometimes with automated installs people neglect to update all the necessary registry settings. This should set them corectly.

Excuse my ignorance, but do you have some basic instructions for a novice trying to export the contacts out of a Notes .nsf file into Outlook 2002, using ContacsWiz. I've just purchased and downloaded a copy of ContacsWiz, but need a clue as to how to start. I figure I just load the .nsf file, and everything else is self explanatory ?? Correct ??

The procedure is the same as ExportWiz manual install up to the point where you open the nsf file. From there you will find instructions in the help section of the ContactsWiz database itself.

New versions can now be uninstalled from control panel (versions 2.6i and above)

Some versions do not have an uninstall as such. You should:

• Delete the program group in the start bar program menus
• Delete the ExportWiz.exe and ExportWiz.ini file in your notes executable directory or where you choose to install it
• Delete the ExportWizX_X.nsf file from your Notes data directory.

It is not clear to me what I have to do Could you please send me in return an update of your installation procedure explaining exactly the step by step process to get your product to be fully operational (IE not demo mode)

Please note that I would be interested by a similar utility where I could browse through the email of a designated PST database and select a couple of emails to send to the Lotus Note mail database. Could you let me know if such product exist.

Also the help "?" button tells you specifically what each field does and is used for.

These are the overall steps:

1. Test the database you wish to export
2. Verify you are happy with any limitations and then purchase online
3. Make sure you have the correct Lotus Notes mail database selected (VERY IMPORTANT) and create a Ticket Key for the it by clicking on the "Get Ticket Button". This displays your key which you need to copy (I suggest CTRL-C to copy and later CTRL-V to paste)
4. Get a the ticket key stamped. You can access via "?" button and follow instructions (and click the link to get ticket key stamped))
5. Enter your license and paste your Ticket Key and Submit. You will be supplied a stamped ticket key.)
6. Copy an Paste the Stamped Ticket Key to the XitNotes "Enter Stamped Ticket Key" field.
7. Export the database using the "Start Export" button.

Does the recipient of email in Exportwiz have to have an exportwiz license? What do you mean by listed user in the email section of Exportwiz? Regards,

A license is required for each user who uses ExportWiz and needs to read or create reports. There is no difference from a licensing point from a report developer or recipient. For example to mail a report to 20 users would require at least a 20 user license.

We also offer a server or enterprise license in which there is no restriction of the number of users.

XitNotes will not start

Once installed you run it run from the menu. Start Menu under Program Files - XitNotes. Please let me know if you don't see it there.

Is it installed in the notes.exe directory? i.e. c:\Notes5\ or c:\lotus\notes or something like that.

If not in the same directory as notes.exe, there must be a path to the notes.exe directory.

If you don't have one you can set one up please let me know if you need help doing that.

Can your product export a Lotus Notes Calendar View into a format that can be imported into Excel

Yes it can. It is just a matter of choosing your database and "Easy Export" Option and then choosing the Calendar View and the fields you want to export directly to Excel.

When opening the ExportWiz 2.5l, I get the following error message. Cannot configure more than 250 different fonts. Then I click OK, but that is it. We have Notes 4.66 and the directory layout is c:\notes\data. This is where I put the .nsf file to run.

Thanks for your enquiry. The error you mention is not an ExportWiz error. It is a system level error. It is most likely is something to do with the way your system is set-up. ExportWiz is a Lotus Notes database so needs to be opened in Lotus Notes. It may be that you system is trying to open the file as a document and does not have an association to the nsf file extension.

You may need to open Lotus Notes and then choose "File" - "Database" - "Open" and select ExportWiz from the list.

You can also try to reduce the number of font in your system and then restart your PC.

I am exporting 6 fields into excel. I then use an excel formula in column 7 to carry out a calculation on columns 5 & 6. I have been entering the formula while reformatting the output of a report and saving back to the template. I have done some testing on this and it seems to be the formula is not being written back to the template for every row I don't see the problem if I edit the template directly from manage templates.

Saving back to the template from the report itself is an ease-of-use type feature. It does not allow some changes to be saved because it removes the data before saving back to the template. If you write to the data area, that information is lost as far as the template is concerned. The Excel options "Data Write Method" Insert or Direct also effects the way data is handled when saving back to template directly from a generated report. If you want to specify the formatting for a whole column, select the default whole column and format it appropriately. You can then set any other special formatting above and below the data area.

What you should really be doing is adding an excel formula field using the Txt/fx option in the select fields dialog box. You need to use the R1C1 excel reference method to refer to cells. R1C1 is documented in Excel help. It provides a way to reference cells by absolute position or offsets. This may seem difficult but once you understand how to use it you will find it easy to work with. Actually it doesn’t make sense to do it any other way. The A1, A2 type reference can not specify offsets directly.

See the example I have included (Column 8). R[0] refers to the current row. It can also be specified as R. C1 specifies column 1. The current column would be C. The previous column from the current column would be C[-1]. To refer to the previous column and previous row you would use R[-1]C[-1].

In versions prior to 2.5L there is no copy template function as such. You need to open the template, save as a file and re-attach to a new template.

Version 2.5L has a copy option in the manage template option.

I'm using a very basic template for a report and if I run it manually it works Ok and uses the template I've defined / attached for the applicable report.

The server must have a system (not administrator) environmental variable called TEMP. It must be set to a valid directory. ExportWiz uses that directory for temporary files. In windows 2000 or NT 4 this is set in “Control Panel” – “System” – “Advanced” – “Environmental Variables” – “System Variables”

I am getting "Error creating product object" when trying to run scheduled reports. The following is from the Lotus Notes System Log:

How can we transfer the license for MailExportWiz from one computer to another? The primary user is changing and it is not allowing us to run the full product on the new machine.

Highlight the MailExportWiz database and choose option actions menu option "License Administration - Delete User(s)" to remove the old user. You will need to re-enter the license key to verify you are a registered user. You will then be able to open the database and automatically be registered as the new user.

Love ExportWiz lite and want to upgrade. I need to be able to create charts. I have tested the charting in demo mode but need to know what version I need to get full chart functionality. Thanks in advance.

That depends. You can create charts in the Standatd Edition but if you need to create Pivot Charts based on pivot tables you will need the Professional Edition. Pivot tables are a power excel feature worth learning. If you don't know anything about it, it is worth checking out the Excel help. Do you need to create charts based on summarised data. i.e. Like how may help desk call of a particular type each month?

Kim, We spoke on the phone on Monday (karimfrom Toronto Canada). The question I have is about the mailexportwiz. How are the mail and attachments reference. Specifically if I am writing a front end to retrieve an email, how do I know what attachments belongs to which email?

A directory (folder) is created for each exported view. A text file is created for each message in the corresponding directory. It is named with a unique reference number (and can optionally be suffixed with the subject of the message or part of). Then all the attachments for that messages are extracted to the same directory and prefixed with that same unique reference. (please note: There is also an other option to save attachments to their own subdirectory of the same name as the unique reference number). I hope this clarifies it.

I am using Export Wiz Version 2. I have scheduled a report to run once daily at 11:00 am and email. It is not working. Am I mistaken in thinking that when I enable email and schedule the report that it should automatically email the report?

I can't seem to get any document to export?

You get no output when running a report (only field headers display in the output)

This may be due to many different reasons

01. You have selected the wrong form.

Select the right form name and try again

02. Your filters or Full Text Query are returning no results

Check your Filters and/or Full Text Search Query (under section View/Query) carefully

03. The form you selected does not contain the saved data but only displays it

The program queries the database using the form name you supply. If this is incorrect the you will get no records returned.

The display form can be different to the form used to store the document. You can check the real form name by going the notes view.

CHECKING THE FORM NAME

Go to the notes view and right click one of the documents you want to export and choose "Document Properties".

Select the second tab and you can view all of the field in the document (If you can't see fields here it means the design has been hidden).

Scroll down to and select the field called "FORM" to view its field information. The form name in the example above is "Letter". This is the name you need to select in ExportWiz. If the name does not appear in the menu then you can enter it manually (That means the form is not part of the database design - a different form is used to display it and the original form is no longer part of the database design)

How can I import or convert reports defined in Exportwiz V1 to V2?

Because the format of the data is completely different in version 2 (ExportWiz was completely rewritten from scratch) it is mainly a manual process. You can copy over excel templates but the reports definition with the forms and fields need to be set-up manually.

To copy the excel templates you can go to the template view in the database by choosing the top "View" menu "Go to.." and then choosing Templates. From here you can select all the templates and then choose "edit" - "copy" copy to copy the templates in to the new database. Then go to the new database and choose "View" menu "Go to.." and then choose Templates and then choose "Edit" - Paste.

Everything seems to work, but the logs have: 00001: Notes Error: File cannot be created (t:\ln\export\Agreissm\Attachments\00001a att1.hhtm) Is there something simple going wrong? Otherwise your product looks very good.

Is it just one file that will not export? It could be something as simple as you do not have access to write files to the t:\ln\export\Agreissm\Attachments\ directory or that you network software does not allow files names larges than 8 characters (Some older network software has this limitation). If you have an 8 character limit then you could export to a local drive and later copy the whole new directory structure over (you would loose the long file names). There are some instances where attachments can not be export and a log entry is created. You may then open the problem document by highlighting the log entry and clicking the Open document the button in the log document. You can then extract the attachment manually. This happens mainly with MAC files. There is a note in limitations section of the help. Did the mail body get exported? Did other attachments get exported?

It seems the easiest way to create a new pivot table template would be to create a template from your default template use some dummy data build the data sheet, then the pivot table from the dummy sheet, then the chart and then save the template back to ExportWiz... is this the best method or is there an easier way like being able to copy the example pivot table and chart template. Just making sure I am on right track.

VESION 2.5 Beta Features

Been playing with Export Wiz and starting to get a feel for it. The pivot table and chart template is cool and works very well. Still needing to do some testing to make sure I can package some reports for the other users in my organization. Question I have is with respect to the templates Do I need to have a new template for each report that I create. I have read through the documentation and am not sure I know the answer. I know I can create new templates but when is a new template required. Sorry if this is an obvious question. What I am looking to do is copy the pivot table template format and then modify it to create about 10 standard reports from about 5 different databases. Just need some clarification to know what I might need to accomplish this using the pivot table and chart template example.

The answer is Yes and No. It depends on what you want to achieve. You can share excel templates across reports. You would do this if you have one report with several similar variances. I.e. you may make one variant a monthly report and the other a yearly. In this case the same format would be used for both reports. If you have reports that are based on different fields and different charts etc you would need to use a new template for each. I hope this clarifies, if not let me know. And if you have any more questions please just ask. No problems at all.

I just downloaded your Export-Wizard lite Version. On loading the database I get security alarm for different operations (e.g. NotesDatabase.GetProfileDocument and any others). Please let me know what does the database what to do in this case?

These are standard Lotus Notes functions being called. Your local Lotus Notes Client software is generating execution security alarms which get triggered because it does not have preconfigured settings to allow applications signed by external organisations. It is just warning you that the software is performing certain actions that act on your PC. The warnings are part of Lotus Notes and can not be controlled by our software. Once you choose always trust for each action you will not be prompted again. For instance the NotesDatabase.GetProfileDocument action is looking in the Lotus Notes ExportWiz database itself for default settings.

Re MailExportWiz: Ok, now that I downloaded this file, what am I suppose to do with it. I am not familiar with lotus notes and am testing this for a friend.

You need Lotus Notes to use it. You must extract the nsf file and open it in Lotus Notes via the "file - database - open" option. You then need to accept the certificate and choose trust signer to each security message that comes up. What version of Lotus Notes are you using?

Trying to sort my Lotus Notes addresses by catagories and location (postal code) so that I can make sales calls with a list of clients in a particular geographic area. I do not think Lotus Notes will do this. Do you have a product that will allow the sorting described above?

Thanks for your enquiry. Yes we do. Our ExportWiz product lets you create a quick report that you can automatically or manually sort on the criteria you need. What type of database contains your customer information? Is it a name and address book or some sort of Contacts database? If you are using a standard address book I could create an example report for you to try. ExportWiz allows you to predefine reports. You can create and save reports that prompt you for information each time you run them. In your case you could create a report that each time you run prompts for "Region". You enter the region and it displays only the results that match that region. You could also create a report that prompts your to enter a word or partial word to find a match in a certain field like description etc. I apologise if I sound a little over enthusiastic but our software will give you exactly what you need and will let you do a whole range of other things you will probably find useful too.

I am using your ExportWiz Lite application. I was trying to see, in demo mode, how the charting function worked. I set in the output options for Excel as follows: the chart sheet to Chart1, and the appropriate column and axis ranges (say d2:d5 and h2:h5 for example). When I run the report, I get an OLE Automation Object Error as well as an error that says "Invalid Excel sheet specified line 1. Chart not updated." If I change the chart name field to sheet2, then I don't get any errors but no chart appears. Could you explain to me why this is happening, and how I can fix it to see the functionality of the charting feature?

It is possible that you don't have the "Excel Sheet" (data sheet) specified (You can leave this blank so it writes to the default opened sheet but this is not valid when using charts). You also only normally specify the column ranges not rows. You say you set d2:d5 and h2:h5 this should be set to d:d and h:h. The row range is automatically set by ExportWiz to match the data in the data sheet. In your example you don't need to but if you need to specify offsets in the rows used for chart data (i.e. you don't want to use all of the data for some reason (not often you would do this)) you specify either relative offsets in the format C(OffsetTop)C(OffsetBottom) where OffsetTop & OffsetBottom are positive or negative figures or you can also specify absolute offsets like C1C5. You would only do this if you want a static unchanging part of your data and your results always include data in that range. Please let me know how you get on after you check Excel Sheet setting. Also, If you are interested we will be releasing a new feature very soon to allow PivotTable/Charts. They allow to create summary charts and tables, with sums, counts based on certain criteria. If you would like a beta copy please let me know.

I had a question about the schedule options. From what the help document says, it looks like I need to have access to create files on the server ... and that Excel needs to be on the server if the output is an Excel report. However, the Domino server does not list security by "create file" -- it lists things like run scheduled agents. I do not have the security to run scheduled agents on our server; do you know if this means that I can not use scheduled reports? [Also, how does the process work? I might want to run reports daily, say at 6am; do these scheduled reports run directly from the server, or does the ExportWiz database need to be open at the scheduled time?] Thanks again for your help. The internal schedule agent in the ExportWiz database (That is set via the configuration options) needs to be set by a user that has access to run scheduled agents. The user would also need to have access to run unrestricted agents (this is required because it creates temporary files at the file server, attaches them to an email and sends, it then deletes the temp file), This is usually done by a Lotus Notes Administrator. Once set however, you can then create scheduled report and specify when they run yourself. One set it runs and keeps running. It's job, the schedule agent, is to check to see if any scheduled reports need to be run, if so it runs them. You do need to have excel loaed on the server for Excel reports but if you want to run Delimited or CSV report scheduled only then Excel does not need to be loaded. All scheduled reports run from the server not locally so you do not need to have it open (You do however need to have ExportWiz installed on your server which I am sure it is)

I am using ACT 6.0 as my contact manager and Lotus NOtes 5.0 for email and project management. Do you know of any product that I can synch my calender in act with my lotus calendar.

We just received your Notice that ExportWiz version 2.0 is now available. We are currently using the beta version 2 with our 10-user license. Should we download a new copy? If so, how do we maintain the reports that we have developed so far?

You should go to the "advanced" menu and choose "Parents/Siblings". Here you will see all report definition documents including any linked ones that are hidden from the standard view. You should expand all categories (using the ++ button top notes menu) and then select CTRL A to select all documents in the view and choose "Edit - Copy". Next - Open the new database goto "advanced" - "Parents/Siblings" and then paste the documents. That's it.

To copy the templates (Excel) go to the source database and select the Lotus Notes Menu option "View" - "Go to" and choose the templates view. Select all the documents you want to copy and choose Edit Copy. The go to the new database and choose the same option (Notes Menu option "View" - "Go to" choose templates) and choode Edit Paste. You should see the templates copied.

I recently downloaded your ExportWiz program to extract data from one of our clients Lotus Notes database. The program works great but in one of the fields they have multiple paragraphs. If the small square is actually a carriage return, you can remove it using the "Field Conversion" button in the field selection options. You would selected the option "CRLF->sp" to convert it to a space or "-CRLF" to remove it only.

I've got several a error messages if I try to make a new Excel template (I press the button New in window "Manage Templates". The first error message is a box only with the number "12" and an OK button. The next error message comes with "Error occured, Error line = 21 Error Code = Error = File not found" I tried the same functionality in ExportWiz 2 Beta and I've got no error message, everthing was OK. What is the problem?

This was an issue with version 2.0a which is now fixed. Version 2.0.1 Fixed Issue with Management Templates Add New. A design element was not copied in to the new production version from the master template.

When trying to run this program, I get and invalid nsf. Any help?

Yes, the new version 2 program requires Notes 5. We do have a 4.6 copy but it does not contain all the features yet. We will be making one available at some stage. Until then you can download the version 2 beta that should work with Notes 4.6.

I regularly import and manipulate data from Excel spreadsheets. Each of the rows in the spreadsheet (apart from the header) becomes a document in the Notes database. As it it stands now I convert the spreadsheet into a Lotus123 spreadsheet and then import it. Can any of your products streamline this process?

This is something we are planning to provide but we do not have this functionality in any of our products yet. If you check back at our site in a few months time we should have a product. If you like I will keep your email address and let you know when we have something available to do this.

In the Filter Options in ExportWiz I can olny see 'Field1', 'Field2' & 'Field3', not any of the columns specified in the Export Fields section ... great product by the way!

There is a maximum of 6 fields that can be exported in ExportWiz Lite. The full version does not put a limit on the amount of fields allowed to be exported.

I am trying to work out if ExportWiz is going to be the most appropriate tool for my requirements. A colleague who has now left created a very complex database containing, amongst other things, a whole load of sections for recording financial data & calculations. The database has to be redesigned to make it easier to navigate around and I therefore need to remove all the financial data & put it in a spreadsheet, which they can then access if required. Unfortunately, there are over 250 of these fields. Your lite version will only export 6 fields and up to 500 records, and when I tried to do it using the demo, just to see whether it was possible using the full version, I got an error. I would also like to only export those records that contain data in at least one of the selected fields. Can the full version cope with exporting such a large number of fields, and can I easily specify the selection criteria? Many thanks

Microsoft Excel has a limit of 65,536 rows by 256 columns so that is most likely the limit you are hitting. The full version of ExportWiz does not set any limits. The only limits you may come across are the Lotus Notes limits of around 14,000 bytes for max field size (In the field selection dialogue box). This works out to be about 12,000 bytes after field information overheads so that leaves you with about 800 fields of length 15 characters (800 x 15 = 12,000). You could try to export to CSV or delimited file to avoid this limitation. Setting filters also should not be an issue.

Why does the export tool only show a local database list and one of my network servers instead of all of them?

ExportWiz allows you to manually enter server names. As you enter each new server name it will be remembered and appear in the list for next time. Initially it only shows the name of any mail servers in your local address book. This works in a very similar way to the Notes open database dialog box.

Will MailExportWiz export mail from say Netscape Messenger into Lotus Notes or Lotus Domino???

No, MailExportWiz Exports Mail out of Lotus Notes. It does not have the ability to import information.

I am trying to convert several sales tracking databases from Notes to SQL. I need to do a two step export. 1.) Export the fields and forms from Notes in order to create my SQL db. 2.) It will allow you to export all forms and form fields to Excel, CSV or Dilimited text files. You can then import those files into your sql database. You will need preform an export for each form.

I would like to export lotus notes calender entries in vcal files to be able to hotsync with my palm. Which versions of lotus notes support vcal and if I am using a version that does'nt support vcal is there another way that I can export my calender entries to my palm - thanks in advance for your help.

I would recommend using Pylon or Pylon pro if you want to export calendar entries. I advise to check the lotus site or www.note.net for information on vcal support for different notes versions.

The version 1 had a problem with European decimal points. Even if you set it at "." I think you still get a problem. This will be resolved next version. If you need to get it to work you can change you international setting temporarily to English US.

MailExportWiz (notesMail-Exporter) is a tool to export notes mail files to text files and attachments in directory structures. It doesnt export to a format you could immediately import into Outlook. It is really designed for people who want to write their own code to deal with the data in a known format (i.e.. It is very easy to deal with plain text files). People dont need to know anything about notes or programming in notes. Most people who purchase it use it to archive files (and leave them in text file format) or to import into document management systems. You may be able to do what you need to. It really depend on what you want to do exactly. We are currently creating a tool very similar to this that will allow you to export notes mail directly to Outlook. It should be available by mid September 2002.

What is the Lotus Notes Data directory??

It is the place where the Lotus Notes Application (Client Application for the Client software) looks for local databases like the personal address book etc. When the Lotus Notes Client is install this directory is specifically specified.

How do I export Lotus Notes email to Microsoft Outlook?

We have a tool that does this called EddieExport - see Products Menu EddieExport. It will export all text, attachments, folders and subfolders to Outlook (preserve the same folder structure).

When I start the ExportWizLite I get two messageses. 1 "Type mismatch" 2 "Object variable not found"

There is a problem with only certain regional settings (Mainly European). It is caused by an error in number conversion where a decimal point is a comma instead of a period. If still this happends for you please contact us and tell us what your regional/international settings are

When trying to view the report I receive a pop-up message that says: There is a problem with the following fields: [Output Template Name] - Missing. Please correct the problem before continuing. I am not sure what this refers to, any suggestions?

This is only an issue in old versions of the ExportWiz software. Download the latest copy to resolve this issue.

Hello, A friend of mine is losing his job but he would like to save his personal email and archives (I am not sure what an archive exactly is). I was wondering if there is a way I can store the files to another laptop. Also, is there a way to convert the files (so he can them in outlook or any other software)? thanks, John

There are a lot of options. Notes has inbuilt exporting features. The
only issue is that none of those features support exporting
attachments. I am not aware of any programs that do this except for our
product MailExportWiz.

The best place to put the downloaded database file ExportWiz.nsf or ExportWizLite.nsf is in your local notes data directory. The notes data directory is where notes stores all of your local personal databases such as your personal address book etc. It also stores your notes desktop and other settings there.

The advantage of putting it in your local directory is that you dont need administrator access as you would to put it on a notes server.

Depending on how your environment is set-up the actual path name may vary. If notes is set-up on your C: drive the directory may be called "c:\notes\data" or "c:\lotus\notes\data". Unfortunately the directory could in theory have any name depending on how it was set-up originally.

You can locate the main notes directory (where the notes executable program is stored) by checking the properties on your Lotus Notes Icon (Right click the icon). Once you have found the main directory you may find the notes data directory is call "data" as a subdirectory within it. You also may not. Another way to find the data directory is to find the "notes.ini" file (usually in the main notes directory, the windows directory or in a location specified in the Notes icons properties box as a parameter of  the executable program). Check the value "Directory=". This value specifies the notes\data directory. Now I have confused you enough? Probably. If you need more help you may need to speak with your notes administrator or IT support people to located the directory.

Once you put the database in your notes data directory you need to open it in Lotus Notes. In version 5 Choose File - Database - Open and select ExportWiz from the list. The server should be local by default and the database should appear here if you managed to put it in the right notes\data directory. In notes 4 choose File - Open  - database.

You should then be able to open and start using the database after accepting the license agreement and registering.

Lotus Notes is a database and mail client server application that runs on several platforms including Windows NT. It also has a development environment and allows you to develop databases and web applications. It will not run ASP programs directly. Your NT server may be able to if you have one.

There are 2 parts to Lotus Notes, the workstation software and the server software. The only portion that is similar to MS Office is the workstation mail portion, which is similar to Outlook. As a database application it is very different to Microsoft Access. So it doesn’t really complete with MS Office.

Lotus Notes uses it own database format but with development can interface to other types of database.

How can I make a report from lotus notes database

I recommend that you download the application to your c:\notes\data directory (It may be on a drive other than c: and the base directory may be called something other than notes).

Once you have downloaded the application you need to the start lotus notes and add the database to your Lotus Notes desktop (in version 5 choose File - Database – Open, In version 4 choose File – Open - Database) scroll down until you see ExportWiz and open it by double clicking on it or highlighting it and clicking open.

You will be prompted to accept the license agreement. Once you accept this you will be prompted to register or choose demonstration mode. Choose demonstration mode. This will come up each time you use the application while in demo mode.

To create a report click on the button Create Report. This will start the report wizard that will take you through the steps of selecting a database and choosing the information you want to report on.

Now you are ready to run the report. Chose the button View Report. This will create the report in Excel by default and display it immediately. If this does not answer you question and you need more detailed help please post again and ask for more help and I will go into more detail.

I need to export a large number of mail databases with their attachments to a local hard drive. The mail should be in text form with the headers, and folder information if possible, while the attachments should be in their native formats. Is this possible using this product?

We have another product available called MailExportWiz that does this. The current version of ExportWiz does not export attachments. Please see MailExportWiz for details.

Why does it take a long time to gather design information for certain databases.

It depends on the size of the database and the way the database is designed. If you choose to scan for field values not in the design and you have many views this can take quite a while. Once done however the design is cached and ExportWiz does not have to be scan the whole database again.

The fields I wish to export do not show in the fields list.

Some document fields are available within individual documents but not available in the forms design. Use the advanced tab in the field selection dialogue box. Enter the field name manually. Or use refresh cache and get ExportWiz to check the first X documents per view for field names not directly in the design.

Yes, you can also export to CSV files.

Can I use the ExportWiz without Microsoft Excel.

Yes but you need Excel if you want to export in Excel format. Without excel you have the ability to export to CSV or Text delimited files only. 

I am getting Execution Security Alert messages what are these and what do I do.

Execution Security is a Lotus Notes security feature that restricts what program code written by others can do in your Notes session. It protects you from attack and gives you a chance to stop certain actions. In regards to this program you must click trust signer each time it comes up. It will come up only once for different actions and then not come up any longer.
